Getting started
1. Signing in
Open https://farms.houseofloveafrica.org and sign in with the email and password your administrator created for you.
The sign-in screen, branded with your farm's logo and name.
Forgot your password? Self-service reset by email isn't enabled yet. Ask an administrator to set a new password for you under Settings → Users & Roles. After several wrong attempts the login pauses for a few minutes — this is a security measure, not a fault.
2. Finding your way around
Every screen shares the same frame: the sidebar on the left to move between modules, the top bar for farm-wide controls, and the work area in the middle.

Good to know
Sidebar — modules grouped by area (Production, Health, Operations, Insight, System). Click any to open it.
Farm switcher (top-left) — shows the farm you're working in.
Search — press Ctrl/⌘ + K to jump to any record or page.
Alerts (bell) and the light/dark toggle sit at the top-right, next to your profile.
Date range — many pages have a Today / This Week / This Month / Custom switch that scopes the figures shown.
What you see depends on your role. Modules you don't have permission for simply won't appear.
3 Dashboard
Your farm at a glance for the selected period — production, mortality, finances, and health, all on one screen.

On this screen
Headline cards — Live Birds, Eggs Today, Feed Today, Mortality, plus finance (receivables, revenue, expenses, net profit).
Active Alerts — items needing attention; Houses Reporting Today shows which houses have logged a daily entry.
Farm Health gauge and Top performing houses (by lay rate).
Use the Today / This Week / This Month / Custom switch at the top-right to change the window.
4 Flocks
A flock is a batch of birds placed in a house. This is where you track how many birds are alive and where they went.

How to
Add a flock — click New flock and fill in the code, house, breed, quantity placed, date, and age.
Read the stock card — current live birds = placed − deaths/culls − sold − donated/consumed. The breakdown row can be filtered by period.
Record usage — log birds donated, consumed, or other. (Deaths come from Daily Entry; sales come from the Sales module — you don't re-enter those here.)
Transfer birds between houses when you move them.

5 Daily Entry
The daily record for each house: eggs collected, mortality, culls, water, and feed consumed. This is the single most important routine in the system — most figures elsewhere are built from it.

How to
Pick the house and date, then enter the day's numbers (eggs, mortality, culls, water).
There are two save actions: Numbers saves production; Feed records feed consumed per type and draws it from feed stock at cost.
One entry per house per day — saving again updates that day's record.
6 Egg Production
Log egg collections by grade and keep an accurate egg-stock balance.

How to
Log a collection by grade/size; the stock card shows collected − sold/donated/consumed.
Record egg usage for donations or on-farm consumption. Egg sales made in the Sales module automatically reduce egg stock — no double entry.
7 Feed
Track how much feed you have, what you've bought, and what it costs.

How to
Record a purchase (type, quantity, cost) — it adds to stock and also appears automatically under Expenses.
Consumption is recorded through Daily Entry → Feed, so stock is always drawn down at the real unit cost.
8 Health & Disease
Keep a record of health events — outbreaks, treatments, and vet visits.

How to
Add an event with the date, house, condition, attending vet, treatment, and notes. Vets are chosen from a managed list you maintain under Configurations.
9 Vaccination
Record vaccinations so you have a complete immunisation history per house.

How to
Add a record with the vaccine, route (drinking water, eye drop, injection, spray), house, and date. Vaccines and routes come from managed lists.
Add an item with its category, unit of measure, and quantity. Categories and units are managed lists you control under Configurations.
11 Sales
Raise invoices for what you sell — eggs, birds, manure, and more — and track who has paid.

How to
New sale — add a customer and one or more line items; the total is calculated for you from the lines.
Status — mark it paid, partial, or credit, and record the amount paid; the outstanding balance updates automatically.
Download a branded PDF invoice or receipt (the download icon on each row).
Each document carries a QR code anyone can scan to verify it's genuine against your records — no login needed.
Selling eggs or birds automatically reduces the matching stock.
12 Expenses
Record what you spend, and see a complete picture that already includes payroll and feed purchases.

How to
Add an expense with a category, payment method, amount, and date.
Payroll runs and feed purchases appear here automatically (read-only) so your totals are always complete without re-typing them.
13 Team & HR
Keep your staff records — the basis for payroll.

How to
Add an employee with their name, role, department, pay rate, and contact details. Roles and departments are managed lists.
14 Payroll
Run payroll for a period; the system computes each person's pay and files it under Expenses.

How to
Start a new run for the period; it builds a line per active employee from their pay rate. Once saved, the total appears automatically under Expenses.
15 Reports
Turn your day-to-day records into shareable reports.

How to
Choose a report (such as Profit & Loss), set the period, and export a PDF. Reports draw on the same figures shown across the app, so they always match.
16 Configurations
The dropdown lists used throughout the app — houses, breeds, feed types, vaccines, sale items, expense categories, staff roles, departments, and more. Maintain them once here and they update everywhere.
Managed lists. Add, rename, or remove the options that appear in every dropdown.
How to
Add an item by typing it and clicking Add.
Rename (pencil) updates every existing record that used the old name — nothing is orphaned.
An item currently in use shows a lock instead of a delete button until nothing references it. It can still be renamed.
Tip Set these up first when you start — it makes every other screen's dropdowns ready to use.
17 Settings
Your farm's profile, the people who can use the system, and your own account.
Settings.
What's here
Farm profile — name, logo, currency, operation type, capacity, locale, timezone, and notification preferences. Your logo also becomes the browser-tab icon and appears on the sidebar and sign-in screen.
Users & Roles — add staff, assign a role (which decides what they can see and edit), suspend accounts, and reset passwords.
Payment accounts — bank / mobile-money details that print on your invoices.
Backup — download a restorable .sql file of your farm's data. Do this periodically.
Your profile — change your own name and password at any time.
Roles If a colleague can't see a module, it's their role's permissions — adjust them here under Users & Roles.
